How to Integrate Zoho CRM with WhatsApp (Native Setup, Step by Step)

A client selling equipment across Latin America told us their leads simply stopped answering email. They lived on WhatsApp — quotes, photos, "is it in stock?" — all in a green chat app that touched none of their CRM. Their reps were copying messages into Zoho by hand, when they remembered to. The fix wasn't another tool; it was connecting the channel their buyers already used to the system their Zoho CRM consultants run every day. Here's how to integrate Zoho CRM with WhatsApp, and the rules you have to respect to keep it running.
Zoho CRM has a native WhatsApp integration — Zoho is an official Meta WhatsApp Business Solution Provider, so CRM talks to WhatsApp's Business Platform directly, without a third-party middleman. Two-way messages log against the lead or contact, templates are managed inside CRM, and inbound chats can auto-create records. It's available in the trial and every paid edition of Zoho CRM.
What you need before you start
WhatsApp Business isn't the consumer app, and the setup reflects that. Line these up first:
A Meta (Facebook) Business Manager account with a verified business.
A WhatsApp Business Account (WABA) under that business.
A dedicated phone number that is not already registered on WhatsApp or the WhatsApp Business app — you have to free it up first, or use a fresh one.
Message templates you'll submit to Meta for approval (more on why below).
The number rule catches people constantly: the mobile number your team texts from today is almost certainly already on WhatsApp, so it can't be reused as-is. Plan for a clean number.
How to integrate Zoho CRM with WhatsApp: the native Business Messaging setup
Zoho has shuffled this menu's name — newer accounts show Business Messaging, older ones say Instant Messaging — so check both labels if you don't see it immediately.
Go to Setup → Channels → Business Messaging.
Under WhatsApp, click Details → Integrate.
Log in with your Facebook Business Manager credentials.
Select or create your Facebook Business account.
Select or create your WhatsApp Business Account (WABA).
Create or select a WhatsApp Business profile.
Verify your WhatsApp Business phone number.
Set a nickname and confirm the number.
Choose whether inbound senders are added as Leads or Contacts.
Assign the channel to the right users, groups, or roles, and save.
Create your message templates and submit them to Meta for approval before you run any outbound outreach.
Once it's live, reps can open a lead, message on WhatsApp, and see the whole thread on the record — no more copy-paste.
The 24-hour rule you can't design around
This is the single most important thing to understand, because it shapes everything you can send. When a customer messages you, a 24-hour window opens during which your team can reply with free-form messages. Each new inbound message resets the clock. Outside that window, you can only send a pre-approved template message — you cannot fire off a casual "just following up." Zoho's own documentation states it plainly: reply within 24 hours of receiving, or the messaging window closes.
That rule is Meta's, not Zoho's, and it exists to stop WhatsApp from becoming a spam channel. It's why templates matter: they're your only way to start or re-open a conversation, and Meta reviews each one (utility templates like appointment reminders clear easily; marketing templates get more scrutiny and can be rejected). Build your key templates early so approval lag doesn't stall your launch.
Native CRM or SalesIQ? Pick by use case
Zoho gives you two front doors, and a single number can only go through one at a time:
Zoho CRM native (Business Messaging) — best for sales outreach: reps messaging leads and deals, threads on the record.
Zoho SalesIQ WhatsApp channel — best for support and live chat: incoming WhatsApp lands in a shared inbox, a bot can triage, and conversations sync to CRM.
If your priority is reps working deals, use the native CRM channel. If it's a support team fielding inbound questions, route WhatsApp through SalesIQ instead. Trying to run the same number through both won't work — decide which job matters more.
For teams that need bulk campaigns or already have a WhatsApp API vendor, Marketplace extensions (Wati, Twilio, and others) plug in as an alternative to the native channel — useful when you want broadcast features Zoho's built-in flow doesn't cover.
What it costs
The integration itself is included in your CRM edition, but WhatsApp messaging is not free at scale. Meta charges for template messages, and it moved to per-template pricing on July 1, 2025, with rates that vary by template category (marketing, utility, authentication) and destination country. Service replies your team sends inside an open 24-hour window are generally free; marketing templates you send to re-engage cold contacts are where the per-message fees add up. Budget by how many outbound marketing templates you plan to send, and re-check Meta's current pricing page before you forecast — this pricing has changed more than once.
There's a reason it's worth the setup work: WhatsApp passed 3 billion monthly active users (Meta, 2025), which for many businesses is simply where their customers already are. Meeting buyers on the channel they answer beats adding another one they'll ignore — the same logic behind connecting WhatsApp, email, and your CRM so every touch lands in one timeline.
Common mistakes to avoid
Skipping opt-in. Meta requires you to collect consent before messaging. Send without it and your number's quality rating drops — or gets banned.
No templates ready at launch. With nothing approved, you can only reply inside the 24-hour window and can't start conversations at all.
Reusing a live WhatsApp number. It has to be freed from the consumer app first, or migrated off another provider (disable two-factor first).
Treating it like SMS. The window rules, templates, and pricing are different — WhatsApp isn't just texting with a nicer icon.
Getting WhatsApp wired into CRM cleanly — with the right channel, approved templates, and messages that actually log — is the kind of setup our Zoho integration team does regularly, often alongside other channels like Google Workspace. It's also where an experienced business systems consultant earns their fee — choosing the right channel and getting templates approved the first time. Want it done right the first time? The takeaway
Zoho CRM's native WhatsApp integration is genuinely built-in — no middleman — and it's available on every paid edition. The work isn't the clicks; it's the accounts (Meta Business, a WABA, a clean number), the templates you get approved up front, and respecting the 24-hour window that governs what you can send. Line those up, choose native CRM for sales or SalesIQ for support, and your buyers' favorite channel finally shows up where your team already works. Ready to connect it?
