How Addiction Rep Built a Commercial Real Estate CRM and Brokerage Operating System on One Platform.

  • Client: Addiction-Rep, addiction-rep.com
  • Partner: CodeStringers, codestringers.com
  • Platform: one integrated suite.
  • Industry: Commercial Real Estate & Business Brokerages.

The Company.

Addiction-Rep is a specialized commercial brokerage serving the addiction treatment and rehabilitation industry. Founded by Jim Peake, the firm advises buyers and sellers of rehab facilities — helping owners value and sell their properties and businesses, guiding buyers through acquisition due diligence, and providing consulting and marketing services to operators navigating one of healthcare’s most complex and regulated markets.

It’s a high-stakes, relationship-driven business. A single deal represents a significant financial transaction with clinical, regulatory, and operational dimensions that general commercial brokers rarely encounter. The work is confidential by necessity, long-cycle by nature, and impossible to manage well without a system that mirrors how the deals actually move.

The Challenge.

Commercial brokerage has a deceptively simple surface: find a buyer, find a seller, close a deal. In practice, the Addiction-Rep workflow looked nothing like that. At any given time, Jim’s team was managing inbound inquiries from multiple categories — prospective sellers seeking valuations, buyers searching for acquisition targets, and operators needing consulting — each requiring a different process, documents, and follow-up cadence. Without a structured system, deals stalled silently. NDAs were tracked in email. Follow-up tasks lived in someone’s head. When a lead went cold, nobody could tell whether it was a timing issue or whether it had simply fallen through the cracks. And when Jim needed to see where the business stood — which listings were active, which buyers were engaged, which deals were at risk — there was no single place to look. The core problem wasn’t effort. It was architecture. Addiction-Rep needed a system purpose-built for the way commercial brokerage actually works: multi-stage, multi-party, document-intensive, and completely unlike the sales pipelines most CRMs are designed around. At the beginning of the engagement, Peake memorably said to CodeStringers, “Right now I’m running at about 10% efficiency. Can you please help me improve that?”

Why CodeStringers.

Addiction-Rep selected CodeStringers because of their deep experience with complex, multi-workflow business systems implementations — and because they understand that building a CRM for a brokerage operation requires more than configuring a pipeline. CodeStringers’ commercial brokerage practice is built around a positioning they call “complexity without inventory”: the recognition that brokerage firms carry the same operational complexity as manufacturers or distributors, but without a warehouse to manage. The bottlenecks are informational, not physical — and solving them requires a different kind of systems thinking. Their Fractional CxO engagement model also aligned with Addiction-Rep’s lean, owner-operated business structure. Rather than delivering a finished system and walking away, CodeStringers embedded strategically, ensuring the system was designed around how Jim and his team actually worked — not how a software vendor assumed they would.

The Solution.

CodeStringers designed and implemented a full Brokerage Operating System on one integrated suite, architected around Addiction-Rep’s distinct deal lifecycle and team structure.

Solution Architecture.

Addiction Rep Commercial Brokerage Operating System

Multi-Pipeline Deal Architecture.

At the center of the solution is a purpose-built five-pipeline CRM architecture in the CRM. Each pipeline — Lead Intake & NDA (PM1), Marketing (PM2), Sell-Side (PM3), and Buyer (PM4) — represents a distinct stage of the brokerage process, with its own workflow rules, task assignments, and advancement criteria. A routing layer (PM0) governs how inbound leads are classified and directed to the appropriate pipeline based on the nature of their interest: selling a rehab, buying a rehab, requesting a valuation, or seeking consulting services. Each pipeline is independently configurable, but the system manages cross-pipeline dependencies automatically — so when a seller advances from marketing engagement to active listing, the relevant buyer records are updated accordingly, and each buyer-listing relationship is tracked as its own deal rather than collapsed into a single record.

Automated NDA Lifecycle.

Confidentiality is foundational in addiction treatment M&A. CodeStringers implemented an end-to-end NDA workflow using document generation and e-signature. When a new lead enters the system and an NDA is required, the document is automatically generated from a pre-approved template, pre-populated with the lead’s data, and routed for e-signature — all without manual document preparation. Jim’s team retains the ability to review and edit any NDA draft before it goes out, and signed documents are stored and linked directly to the corresponding CRM record. The entire lifecycle — generation, delivery, signing, and filing — is managed inside the system.

Inbound Call Tracking via CTM.

A significant share of Addiction-Rep’s inbound inquiries arrive by phone. CodeStringers integrated CallTrackingMetrics (CTM) with the CRM to capture inbound call data automatically — creating or updating contact records, logging call activity, and routing follow-up tasks to the appropriate team member. No inbound lead is left unlogged due to someone forgetting to enter it manually.

Lead Import from SmartLead and Hubflo.

Outbound lead generation flows from SmartLead and Hubflo into the CRM via structured import integrations, ensuring that prospective buyers and sellers identified through outreach campaigns arrive in the CRM in a clean, mapped format — matched to the correct lead type, pipeline, and record owner without manual re-entry.

Dunning Engine and Drip Campaigns.

Long sales cycles require consistent follow-through. CodeStringers built a task-based dunning engine in the CRM that triggers escalating reminders when key workflow milestones are overdue — NDA unsigned, listing review stalled, buyer follow-up missed. Separately, marketing automation handles drip-campaign sequences for leads in the early stages of engagement, keeping Addiction-Rep’s name in front of prospects during the long consideration windows that characterize acquisition decisions.

Dashboards and Executive Reporting.

The analytics layer provides Jim with a real-time view of pipeline health across all five workflows: active listings, buyer engagement counts, deal stage distribution, NDA status, and task completion rates. Operator-level dashboards give Tracy visibility into her team’s task queue and workload. The reporting layer was built to answer the questions that actually matter in brokerage: where are deals stuck, which buyers are active, and what needs attention today.

The Engagement Model.

CodeStringers engaged Addiction-Rep through their fixed-bid Phase 1 delivery model, providing a comprehensive scope estimate and project guarantee before any development began. The engagement was structured to deliver the full Brokerage Operating System — all five pipelines, integrations, document automation, dashboards, and deployment — within a defined budget and timeline. The system was designed with operational flexibility built in from the start: team roles are configurable rather than hard-coded, pipeline assignments are adjustable as the team grows, and the architecture is extensible to support future channels and workflows without having to rebuild from scratch. Following project delivery, CodeStringers proposed transitioning Addiction-Rep to their managed services model — a monthly subscription that provides ongoing access to platform specialists, custom development, and strategic guidance. For a lean brokerage operation, this replaces the unpredictability of one-off vendor quotes with a predictable monthly investment and guaranteed response capacity.

Results.

Addiction-Rep now operates with a fully structured deal management system that matches the complexity of their business. Every inbound inquiry — whether from a phone call, a SmartLead campaign, a Hubflo import, or a direct web form — enters a defined pipeline with a documented workflow, assigned tasks, and automated follow-up. NDAs are generated and executed in minutes rather than days. No deal stalls silently because of a missed task or a document stuck in someone’s inbox. Jim has visibility into the entire business in a single dashboard view. Tracy has a clear operational queue. And the foundational architecture is in place to support Addiction-Rep’s growth into new service lines, additional brokers, and expanded reach for buyers and sellers — without starting over.

What This Means for Companies Like Addiction Rep.

Most CRMs are built for sales teams selling products. Commercial brokerage — especially in a specialized vertical like addiction treatment — doesn’t work that way. The deals are long, the parties are multiple, the documents are sensitive, and the workflow is nothing like a standard sales pipeline. If your brokerage is running on email threads and mental notes, or has outgrown a generic CRM that wasn’t designed for deal complexity at this level, the architecture exists to fix it.

CodeStringers has built it.

Questions

Questions people ask.

What should a commercial real estate CRM do that a standard sales CRM does not?

A standard sales CRM assumes one pipeline where a lead becomes a deal and closes. Brokerage work has several parties and several processes at once: sellers being valued, buyers being qualified, listings being marketed, and each buyer-to-listing match tracked as its own deal. A brokerage CRM needs multiple pipelines with their own stages and rules, confidentiality documents tied to records, long follow-up cycles with reminders, and reporting that shows where each deal is stuck.

How does nda automation work in a CRM?

When a lead reaches the stage that needs a non-disclosure agreement, a workflow generates the document from an approved template, fills it with the lead's details, and sends it for electronic signature. The sender can review and edit the draft first. Signature status is written back to the record, the signed copy is attached, and the next task is created automatically. Nothing moves to confidential information until the record shows a signed agreement.

Why connect call tracking to the CRM?

Many brokerage inquiries arrive by phone, and a call that is not logged is a lead that quietly disappears. A call tracking integration creates or updates the contact record when a call comes in, logs the call with its source and duration, and creates the follow-up task for the right person. Marketing can see which campaigns produce calls, and the owner can see every inbound inquiry in one place regardless of channel.

What is a multi pipeline CRM setup?

A multi pipeline setup gives each distinct process its own pipeline with its own stages, fields, task rules and advancement criteria, instead of forcing every record through one sales funnel. A routing layer classifies new leads and places them in the correct pipeline. Cross-pipeline rules keep related records in step, so a change in a listing updates the buyers attached to it. Reports roll up across pipelines for an executive view.

How does a CRM keep long deal cycles from stalling?

It uses tasks with due dates attached to each stage and an escalation rule, sometimes called a dunning engine, that sends reminders when a milestone is overdue, such as an unsigned agreement or a missed follow-up. Early-stage leads go into automated drip sequences so they hear from the firm during long consideration windows. A dashboard lists overdue items by owner, so what needs attention today is visible without a meeting.

What does a CRM for business brokers cost to implement?

The cost depends on the number of pipelines and record types, the documents to automate, the integrations such as call tracking, e-signature, lead sources and marketing automation, the data to migrate, and the dashboards required. A fixed-bid implementation prices a defined scope with a guarantee; ongoing changes are then handled on a retainer. Licensing for the CRM and the connected tools is separate from the implementation cost.
