6 Custom Function Examples Every Zoho CRM Developer Should Know.
Six Deluge custom functions that automate real Zoho CRM work — from follow-up tasks to external API syncs.
If you searched for Zoho CRM integrations, you found a long list. Zoho CRM connects to the inbox, the phone, the chat tools, the accounting system, the website, the warehouse and most of the rest.

Zoho CRM connects to almost everything, so the question is the order. Connect in the order the record of a customer conversation gets lost today: the inbox first, then the phone, then the chat channels, then the accounting system. Each connection carries one decision: which system is the record of that contact.
Each chapter starts the video at that point.
If you searched for Zoho CRM integrations, you found a long list. Zoho CRM connects to the inbox, the phone, the chat tools, the accounting system, the website, the warehouse and most of the rest. So the useful question is not whether, it is in what order, and the order has a rule. Connect in the order the record of a customer conversation gets lost today. This four-minute explainer walks the four connections that rule puts first, and the one decision each carries. Everything on screen is a mock demo with sample data.
First, the inbox, because that is where most customer conversations happen and most are lost. A rep emails a prospect from their own mailbox; the reply sits there; nobody else can see it; the rep leaves and the thread leaves with them. The connection puts the email on the record in Zoho CRM, sent and received, so the next person to open the contact sees the whole conversation. The decision it carries is which conversations are the record: all mail with a known contact, or only what the rep chooses to attach.
We recommend all, with the private exceptions a person marks, because the exception rule is the one people follow. Second, the phone, for the same reason: calls are the conversations that leave the least trace. The connection logs the call on the record, who called, how long, and the recording or the note, and lets a rep dial from the record so the log is automatic. The decision here is what counts as a logged call. Every call to a known number, or only the ones a rep marks? Again, every call, because the note nobody wrote is the one the next person needed.
We have a separate how-to on setting up telephony in Zoho CRM, and one on the Twilio route. Third, the chat channels, which for many customers are now the first contact: WhatsApp for the customers who message, and the team's own chat tool, Slack or Teams, for the conversations about the customer that happen out of their sight. The customer-facing one logs the message thread on the contact, like email. The team-facing one brings the record into the conversation, so a deal can be discussed where the team already talks, with the record one click away.
The decision is the same both times: which of these conversations is the record, and the answer is the customer-facing one, always; the team chat is where the record is discussed, never where it lives. Fourth, and only fourth, the accounting system. It feels like it should be first, because it is where the money is. It comes after the conversation connections because the question it answers, what is owed, only means something once the system knows what was promised, and that is in the conversations. The connection carries the customer, the deal that closed and the invoice that followed, in one direction each.
The decision it carries is the biggest one in the list: which system issues the customer id, so the two systems agree who the customer is. Get that wrong and every report afterwards puts one customer on two rows. We have a separate video on exactly that. Inbox, phone, chat, accounting, in that order, one decision each. Everything after those four, the website forms, the warehouse, the help desk, builds on a sales system that already knows what happened. We are CodeStringers, a Zoho authorised consulting partner.
