How to Convert Leads in Zoho CRM (Step by Step)

The moment a lead says "yes, let's talk numbers," it stops being a lead. In Zoho CRM that hand-off has a specific mechanic — conversion — and getting it right is the difference between a clean pipeline and a mess of duplicate contacts three months later. What "convert" actually creates

Converting a lead turns one record into as many as three: a Contact (the person), an Account (their company — created automatically if the lead's Company Name is filled in), and optionally a Deal (the opportunity). Zoho's documentation is explicit: "An account will be created on lead conversion if the Company Name detail is available for the lead" (source: https://help.zoho.com/portal/en/kb/crm/sales-force-automation/leads/articles/convert-leads). It's also explicit about the catch, which we'll come back to: "A lead cannot be reverted once converted to contact or account."


Converting a single lead

  1. Open the lead from the Leads tab.

  2. Click Convert at the top of the record.

  3. In the dialog, choose whether to create new or add to an existing Account and Contact — Zoho suggests matches so you don't spawn a duplicate.

  4. Optionally tick Create a new Deal and fill in Deal Name, Amount, Closing Date, Stage, and pipeline.

  5. Set the record owner and confirm.


That's it for one lead. Notes and open activities carry over, and you choose where attachments land. But before you do this at any volume, set up field mapping.


The step everyone skips: field mapping

Your standard lead fields map to Contact, Account, and Deal automatically. Your custom fields do not — unless you tell Zoho how. Go to Setup > Customization > Modules and Fields > Leads > Lead Conversion Mapping, and map each custom lead field to a destination field on the Contact, Account, or Deal. One rule: "map a field with a similar type of field as well as field length" (source: https://www.zoho.com/crm/resources/tips/lead-conversion-mapping.html). Skip this, and every custom value on the lead — the qualification notes, the budget field, the source detail — quietly evaporates on conversion.

Why the field mapping matters so much

Speed compounds this. Research from Harvard Business Review found firms that contact a web lead within an hour are seven times more likely to have a meaningful conversation than those that wait even 60 minutes longer — and the average firm took 42 hours (source: https://hbr.org/2011/03/the-short-life-of-online-sales-leads). The MIT/InsideSales lead-response study pushed it further: reach out within five minutes and you're 21 times more likely to qualify the lead. Auto-conversion exists so a hot lead becomes a working deal in seconds, not after someone gets around to it. But if conversion drops half your data on the floor, that speed buys you a fast path to a bad record. Set the mapping first; then turn on the automation. Clean conversion feeds clean deal stages and pipelines downstream.


FAQ

Can you undo a lead conversion in Zoho CRM? No — conversion is one-way. Zoho's docs state a lead can't be reverted once converted. If you need the lead back, you manually recreate it or convert the contact back into a lead, which is a workaround, not a true undo. Convert deliberately.


Does converting a lead always create an account? Only if the lead has a Company Name. With a company filled in, Zoho creates (or links) an Account automatically; without one, you get just a Contact and, if you chose, a Deal — useful for B2C or sole-proprietor pipelines.


Does field mapping apply when I mass convert? This is the sharp edge: "Field mapping will not be carried out when records are converted in bulk (Mass Convert)." Custom-field data can be lost on mass conversion even when your mapping is set. Test with a few records and confirm the data lands before running it across thousands.


What permission do I need to convert leads? The user's profile needs the Convert Leads permission enabled. If reps can see a lead but the Convert button is missing or grayed out, that permission — or the layout assignment — is the usual culprit.
