Zoho CRM Audit Log, Explained: Who Changed What, and When

The Zoho CRM audit log is a chronological record of the actions users perform across your CRM — who did what, to which record, and when. When a deal disappears, a field value changes overnight, or a workflow starts behaving differently, the audit log is where you find out what actually happened instead of guessing. Accountability isn't a nicety here; it's a control. The global average cost of a data breach reached $4.88 million in 2024, with insider-driven incidents among the most expensive (IBM). An audit trail won't stop a bad actor by itself, but it's how you detect, investigate, and prove what happened — which is why it shows up in nearly every security and compliance framework. This guide covers what the Zoho CRM audit log records, how to use it, and its real limits.


The Zoho CRM audit log explained: what it records

The audit log captures a broad sweep of activity, each entry showing the user, the module, the action, the affected record, and a timestamp (Zoho). That includes:


  • Record actions — add, update, delete, mass update and mass delete, import and export, lead conversion, deduplication, merging, and restoration from the Recycle Bin.

  • Setup and configuration changes — creating, editing, or deleting templates, workflows, rules, web forms, webhooks, email templates, users, roles, and profiles.


In other words, it covers both the data your team touches and the configuration your admins change — the two places where "wait, who did that?" questions usually start.


What it does not record

One common misconception, repeated in a lot of third-party write-ups, is that the audit log tracks login history and IP addresses. It doesn't. Per Zoho's own FAQ, login history lives in Zoho Directory, not the CRM audit log (Zoho). If you're investigating suspicious sign-ins rather than in-app actions, that's where to look. Getting this distinction right saves you from searching the wrong place during an incident.


Audit log vs. Timeline vs. Recycle Bin

Zoho has three overlapping-looking tools, and using the right one saves time:


  • Audit Log — every action by every user across the whole CRM, chronological, and exportable.

  • Timeline — the action history of a single record. It's great for "what happened to this one deal," but it can't be exported.

  • Recycle Bin — where deleted records go, so you can restore them.


The rule of thumb: reach for the Timeline when you're looking at one record, and the audit log when you need the system-wide view or an export.


How to access and filter it

You'll find it under Setup → Security Control → Audit Log (older interfaces placed it under Data Administration). From there you can filter by four dimensions — module (entity), user, action, and date range — to narrow thousands of entries down to the handful you care about (Zoho).


Visibility follows your role hierarchy: administrators can see every user's entries, while non-admins see only their own and their subordinates'. That's worth knowing before you ask a team lead to "check the audit log" — they may not see what you see.


Retention and export

This is where planning matters. Zoho CRM keeps the last three years of audit-log data; anything older is permanently deleted, and the window isn't configurable. If your compliance or governance needs a longer trail, you have to export and store it yourself, which Zoho explicitly recommends (Zoho).


Export is available as CSV, with limits worth noting up front: an unfiltered export can cover up to three years or one million entries, but once you apply an entity, user, or action filter, the export must be scoped to a 180-day range. So for long-term archival, plan a regular unfiltered export rather than assuming the data will always be there.


Which editions include it

Edition availability is the one fact here that's genuinely fuzzy, so treat it carefully. The audit log is a paid-edition feature — it's not in Free or Standard — and Zoho's own feature-comparison page lists it from Professional upward, though some sources describe it as Enterprise-and-above. Because Zoho revises this and it can vary by region, confirm it against the current feature-comparison page for your plan rather than assuming. If you're weighing an upgrade partly for the audit trail, that's a good question to settle before you commit.


How to actually use it

The audit log earns its keep in three everyday situations:


  • Troubleshooting — a field value looks wrong or a record vanished. Filter by module and date, find the action and the user, and you have your answer in minutes instead of an afternoon of asking around.

  • Security and compliance accountability — a defensible record of who accessed and changed sensitive data, which auditors and frameworks expect.
