Addiction-Rep is a specialized commercial brokerage serving the addiction treatment and rehabilitation industry. Founded by Jim Peake, the firm advises buyers and sellers of rehab facilities — helping owners value and sell their properties and businesses, guiding buyers through acquisition due diligence, and providing consulting and marketing services to operators navigating one of healthcare's most complex and regulated markets.
It's a high-stakes, relationship-driven business. A single deal represents a significant financial transaction with clinical, regulatory, and operational dimensions that general commercial brokers rarely encounter. The work is confidential by necessity, long-cycle by nature, and impossible to manage well without a system that mirrors how the deals actually move.
The Challenge
Commercial brokerage has a deceptively simple surface: find a buyer, find a seller, close a deal. In practice, the Addiction-Rep workflow looked nothing like that. At any given time, Jim's team was managing inbound inquiries from multiple categories — prospective sellers seeking valuations, buyers searching for acquisition targets, and operators needing consulting — each requiring a different process, documents, and follow-up cadence.

Multi-Pipeline Deal Architecture
At the center of the solution is a purpose-built five-pipeline CRM architecture in Zoho CRM. Each pipeline — Lead Intake & NDA (PM1), Marketing (PM2), Sell-Side (PM3), and Buyer (PM4) — represents a distinct stage of the brokerage process, with its own workflow rules, task assignments, and advancement criteria. A routing layer (PM0) governs how inbound leads are classified and directed to the appropriate pipeline based on the nature of their interest: selling a rehab, buying a rehab, requesting a valuation, or seeking consulting services.
Each pipeline is independently configurable, but the system manages cross-pipeline dependencies automatically — so when a seller advances from marketing engagement to active listing, the relevant buyer records are updated accordingly, and each buyer-listing relationship is tracked as its own deal rather than collapsed into a single record.
Automated NDA Lifecycle
Confidentiality is foundational in addiction treatment M&A. CodeStringers implemented an end-to-end NDA workflow using Zoho Writer and Zoho Sign. When a new lead enters the system and an NDA is required, the document is automatically generated from a pre-approved template, pre-populated with the lead's data, and routed for e-signature — all without manual document preparation. Jim's team retains the ability to review and edit any NDA draft before it goes out, and signed documents are stored and linked directly to the corresponding CRM record. The entire lifecycle — generation, delivery, signing, and filing — is managed inside Zoho.
Inbound Call Tracking via CTM
A significant share of Addiction-Rep's inbound inquiries arrive by phone. CodeStringers integrated CallTrackingMetrics (CTM) with Zoho CRM to capture inbound call data automatically — creating or updating contact records, logging call activity, and routing follow-up tasks to the appropriate team member. No inbound lead is left unlogged due to someone forgetting to enter it manually.
Lead Import from SmartLead and Hubflo
Outbound lead generation flows from SmartLead and Hubflo into Zoho CRM via structured import integrations, ensuring that prospective buyers and sellers identified through outreach campaigns arrive in the CRM in a clean, mapped format — matched to the correct lead type, pipeline, and record owner without manual re-entry.
Dunning Engine and Drip Campaigns
Long sales cycles require consistent follow-through. CodeStringers built a task-based dunning engine in Zoho CRM that triggers escalating reminders when key workflow milestones are overdue — NDA unsigned, listing review stalled, buyer follow-up missed. Separately, Zoho Marketing Automation handles drip-campaign sequences for leads in the early stages of engagement, keeping Addiction-Rep's name in front of prospects during the long consideration windows that characterize acquisition decisions.
The Engagement Model
